Managing Workflows

The Data Refinery Workbench Workflow provides the means to remediate data records.
A Workflow represents a single Data Record that moves within the steps described in its Workflow Definition, which enables authorized users to make modifications to the record. A Workflow can be assigned to a user although data modification can be made by any member of a group that is assigned to a transition that can be applied. Data modifications and Status transitions are independent of other Workflows. Changes made to the data in a Workflow are not saved to the authoritative view of a record until the Workflow has been completed.

Significance of a Workflow

A Workflow allows a user to manipulate a data record that is not connected to the Live Data store. When a Workflow Instance is created, a copy of the data is made and placed in the Workflow data store to be remediated.

Workflows can be created from a Live Data Object, or Live Data records that are imported directly into Workflows for remediation to become Live Data Objects when the Workflow is completed.

Lifecycle of a Workflow

When a Workflow is created and users begin to progress through the series of its Workflow statuses, the Workflow is considered active. An active Workflow can be assigned to an eligible user, and any eligible user can edit, review, or approve changes made to the Workflow data. An eligible user can apply Workflow Transitions to progress the Workflow to another Workflow Status.

Once an End Transition is applied, the resulting data is merged into Live Data and the Workflow is closed. However, a Workflow can be closed administratively, where its Workflow data is not merged to Live Data. A closed Workflow is never reopened and remains as a historical record that is not deleted.
